Business verification is a paperwork exercise that most advertisers attempt once, fail once, and abandon. Then a restriction hits, the appeal asks for a verified business, and the paperwork exercise becomes urgent. The failures are not mysterious. In nearly every case we have seen, the reviewer was looking at two documents that disagreed with each other, and the fix was to make them agree before resubmitting.
What verification is checking
Meta wants four things to line up: the legal name of the business, its address, a phone number or domain that demonstrably belongs to it, and a document that proves the entity exists. The check is mechanical. A reviewer compares the Business Manager’s details against the document and against a public or telephone confirmation. Any daylight between them is a rejection.
The mismatches that cause most failures
1. Trade name versus legal name. The Business Manager says “Blue Fox Studio”; the registration says “Blue Fox Creative Services Limited”. Use the legal name exactly as it appears on the document, including suffixes, and put the trade name in the “doing business as” field where Meta offers one.
2. Address that does not match the document. A home address on the Business Manager and a registered office on the certificate, or a new office not yet updated with the registry. The address has to appear on an accepted document. If your registration document has no address, a recent bank statement or utility bill in the legal name, at the address, closes the gap.
3. Phone or domain that cannot be tied to the business. Verification often ends with a phone call, a text or an email to a domain. A personal mobile with no public listing, or a domain registered privately under another name, fails the tie. List the phone on the website’s contact page, or use a domain email address and make sure the website shows the legal name.
4. Wrong document type. Meta publishes accepted document types per country inside the flow. A tax number screenshot, an invoice, or a chamber of commerce membership card may not be on the list. Use the document the list asks for.
5. Expired, partial or edited documents. Cropped scans that cut off the issuer, expired licences, photos with glare over the registration number, PDFs with visible edits. Reviewers reject anything they cannot read end to end.
6. Business Manager name recently changed. Renaming the Business Manager to match the document minutes before submitting can itself trigger a hold. Rename, wait a day, then submit.
7. A previous verification on a different Business Manager. The same legal entity verifying multiple Business Managers can be flagged as duplication. If you have an old one, verify that or close it properly first.
Lining everything up before you resubmit
Do this in one sitting, with the document open on one screen and Business Settings on the other.
- Copy the legal name character for character from the document into the Business Manager’s legal name field.
- Copy the address the same way, from a document that shows it.
- Set the business website to the domain that shows the legal name, and use an email at that domain for the verification contact.
- Choose the document from Meta’s list for your country; scan it whole, in colour, flat, with every edge visible.
- Submit once. Do not open a second submission while one is pending.
Resubmissions that arrive with the same mismatches are rejected faster, not slower. Fix first.
When the business is real but the paperwork is messy
Sole traders without a registration number, freelancers operating under their own name, businesses in countries where the registry is paper-based: these are harder but not hopeless. Meta accepts, for many countries, tax registration documents and bank statements in the business name as the proof. Sole traders can often verify under their legal personal name with a tax document, using the trade name as the display name. Where nothing on the list exists, the Business Help Center contact options (which, awkwardly, are easier to reach once verified) can review alternative documents case by case.
Pending for weeks
A verification that has sat for far longer than the usual window is usually stuck rather than being deliberated. If the Business Manager has any support access, ask for the status by reference. If not, withdraw and resubmit with the details confirmed, and note in the resubmission that a previous submission on [date] received no response. Do not create a new Business Manager to try again; that produces the duplicate-entity problem.
Why this matters beyond the badge
Verification is the foundation that every later appeal stands on. When an ad account is restricted for unusual activity or a Business Manager is restricted by cascade, the first thing a reviewer checks is whether the business behind it is verified. Verified businesses get the Business Help Center, faster categorisation and a credible identity in the appeal. Our guides to unusual activity restrictions and Business Manager appeals both assume it. Do it before you need it.
When to get help
A single mismatch is a self-serve fix once you know which one it is. Help is worth it when the ownership structure is complicated (holding companies, agencies verifying on behalf of clients, trade names across countries), when documents from your jurisdiction are not on the list, or when verification is blocking an active restriction appeal with money frozen. That is part of our Business Manager and ad account appeals work: the documents reconciled once, the submission prepared for a one-pass review, and the appeal that depends on it filed in the right order. Official channels only, no guaranteed outcomes, and a free case review first.
Frequently asked questions
Why does Meta keep rejecting my business verification?
Almost always because something does not match: the legal name on the document differs from the Business Manager name, the address differs from the document, the phone or domain cannot be tied to the business, or the document type is not on Meta's accepted list for your country.
What documents does Meta accept for business verification?
Country-specific, but generally a business registration or incorporation certificate, a tax registration, a business licence, a recent utility bill or bank statement in the business name, and for some countries articles of association. Meta lists the accepted documents per country inside the verification flow.
How long does business verification take?
Straightforward cases resolve in a few days. Resubmissions and cases where the reviewer needs to reconcile mismatches take one to three weeks. A verification that has been pending far longer than that usually needs a support contact rather than more waiting.
Do I need business verification to run ads?
Not for basic advertising, but it is required for many features, it unlocks Business Help Center support, and it is the foundation reviewers check during restriction appeals. Advertisers who verify early recover faster when something goes wrong.
